What a bird collection costs, and what people think it costs
Most breeders know the price of a bag of seed but not the annual cost of their collection, because spending arrives in small amounts spread over twelve months while income is concentrated in a handful of sales.
The mismatch that distorts the impression
A collection spends continuously and takes money in bursts. Seed, vitamins, heating, bedding, rings, veterinary fees and show entries leave as small regular amounts that nobody totals. Sales arrive as a few visible transactions.
The result is a misleading impression in both directions. Some believe they are losing money because they have just paid an invoice; others believe they are breaking even because they have just sold three birds. Neither actually knows.
Three kinds of spending that cannot be managed the same way
Running costs follow the headcount: more birds, more seed. They come down by reducing stock, rarely otherwise.
Setup costs, aviaries, incubators, fittings, are investments spread over several seasons. Charging them entirely to the year of purchase artificially crushes that year.
Project costs, a trip to a show, the purchase of a quality breeding bird, are one-off choices whose return can be assessed, if they are recorded.
Mixing these three kinds into a single total produces a figure that is accurate and unusable.
The question a record makes answerable
The point of keeping accounts for a collection is not to produce a result, it is to make certain decisions possible. Is this species costing me more than it returns? Does this pair earn its place? Have veterinary costs risen since last year, and why?
None of these questions can be handled with an annual balance. All of them can be handled with dated, categorised spending.
What this changes in AviarySoft
Expenses are filed by category, with supplier and invoice number, and can be duplicated when they recur identically, which is the case for most repeat purchases.
Income comes from recorded sales: a bird marked as sold with its price, or a clutch sold, feeds the record without double entry. The two are reconciled month by month and year by year, which is the only scale at which a collection can be judged.
How do I record an expense?
From the 'Expenses' page, click the add button. Fill in the name, category, amount, date and optionally the description, supplier and invoice number. The supplier name is offered back to you from your previous entries.
What expense categories are available?
AviarySoft offers 9 default categories: food, health, equipment, housing, breeding, transport, administration, energy and maintenance. Each category has its own icon and color. You can create custom categories in the Configuration page.
How do recurring expenses work?
When creating an expense, enable the 'Recurring' option and choose the frequency: weekly, monthly, quarterly or yearly. The next occurrence date is calculated automatically. Recurring expenses are visually identified in the lists.
Can I duplicate an expense?
Yes, via the three-dot menu or context menu (right-click), choose 'Duplicate'. The new expense copies all information (name, category, amount, supplier, recurrence) with today's date and an empty invoice number.
How does AviarySoft calculate my farm's profitability?
The financial analysis (available on the Statistics page of the Premium and Pro plans) combines two revenue sources (egg sales and bird sales) and three expense sources (recorded expenses, health costs and bird acquisition costs). Net profit, profit margin, revenue per bird and cost per bird are calculated automatically.
How do I track my sales revenue?
Revenue is automatically calculated from sales: when you set a bird's status to 'Sold' (with a sale price) or when you sell eggs ('Sold' status with unit price). You don't need to enter revenue manually, it comes directly from the Birds and Eggs modules.
What financial statistics are available?
The Expenses page header shows: total expenses count, total amount, highest expense this month and monthly total. The Statistics page (Premium and Pro plans) offers detailed charts: monthly revenue/expense trends, cumulative profit, revenue breakdown, expense category breakdown, and recurring vs one-time comparison.
How do I filter and search my expenses?
You can search by name, description, supplier or invoice number. Filters are available by category, year and type (recurring only). Table view allows column sorting.
How do I delete an expense?
Via the three-dot menu, context menu (right-click), or by selecting multiple expenses in table view for bulk deletion.
Are expenses linked to other modules?
Yes, the financial analysis automatically integrates health costs (from the Health module) and bird acquisition costs (from the Birds module). Revenue comes from bird and egg sales. All this data is centralized in the financial statistics.
